Their comprehensive range of services includes technical management, crew management, training, new-building supervision, and handling insurance and claims. Maestro Shipmanagement implemented eye-share Workflow and eye-share Capture with the following modules: Invoice, General Ledger, and Purchase Match. The solution is fully integrated with their ERP system ShipNet.


Streamlining Invoice Management Across a Global Fleet

Maestro Shipmanagement Ltd turned to eye-share Workflow to streamline their invoice approval process, cutting down on paperwork, improving traceability, and automating system updates. By implementing eye-share, they gained quick access to records and enhanced audit trails, ensuring a more efficient workflow.

Maestro is a global group with a head office in Cyprus and operational branches in Denmark and Switzerland. The Limassol office in Cyprus became the first location to implement eye-share, processing around 5,000 invoices annually for their fleet of 12 company-owned vessels.

 

Smooth implementation

Preparation was key to success. Maestro mapped their existing processes against eye-share’s capabilities, ensuring that their key control points were maintained. They also took the opportunity to visit a fellow eye-share customer in Cyprus and conducted a remote walkthrough of a live system in Norway, which was instrumental in understanding the software’s potential.

Of the 22 staff in the Limassol office, 19 are now using the system effectively. To ensure a smooth rollout, key personnel first worked extensively with Eye-share to test and resolve any issues, fostering ownership and a deep understanding of the tool before expanding its use to the rest of the team.

 

Streamlined invoice approval process

The entire invoice approval process is now managed within eye-share, providing full transparency and traceability. Users can easily follow up on invoices, while managers can monitor progress at a glance. The days of searching for misplaced invoices or wondering why an invoice hasn’t been processed are over.

 

Enhanced traceability and audit trail

eye-share’s search function allows for quick retrieval of any invoice, with the ability to monitor timely processing and flag any issues, such as invoices on hold or awaiting approval. The integration with Maestro’s systems also eliminates the need to physically retrieve records, saving both time and storage space.

 

Increased efficiency

With eye-share Workflow, processing time has been reduced to just minutes compared to the previous manual system, which was prone to errors and delays. The automation eye-share provides ensures greater accuracy and speeds up the entire process.
