A new era of efficiency

“Using eye-share has opened up a whole new world for us. We now have a paperless office!” says Siv Turid Haukland Hellesmark, responsible for payments at NorDan.

NorDan, established in 1926, is a prominent company specializing in the production of doors and windows. With the introduction of eye-share Workflow, NorDan has dramatically reduced its reliance on paper. “By implementing purchase order matching in December 2016, we’ve saved approximately 70 binders each year. Additionally, using eye-share General Ledger to process Norwegian customs declarations saves us three to four binders every month. It’s wonderful to eliminate paper and process documents electronically. Now, we have plenty of empty binders and a fully paperless office,” Hellesmark explains.

Hellesmark, who was part of the team when NorDan first implemented eye-share Invoice in 2003, and her colleagues utilize a broad range of eye-share products, including eye-share Capture, eye-share General Ledger, and the eye-share Customs Declaration Module.

Gaining full control

As a large manufacturing company handling 35,000 invoices annually across multiple locations, maintaining control over invoice flow is crucial for NorDan.

“We moved from having some control to full control. Previously, stacks of invoices would pile up in offices around the country, making it a challenge to process them on time. This involved manual stamping, punching, and posting. When overdue notices arrived, we often had to guess if the invoice was in Oslo, Stavanger, Trondheim, or Kristiansand. Now, we have complete control,” Hellesmark says.

The importance of electronic invoice management became even more apparent in December 2015, when NorDan’s head office in Moi, southwestern Norway, was struck by a flood that significantly impacted the company. At that time, only about half of their invoices were stored electronically in eye-share Invoice.

“We had to dry invoice after invoice, binder after binder, for ages. This won’t be an issue if it ever happens again, now that all our invoices are stored electronically,” Hellesmark remarks.

Significant time savings 

At NorDan, 127 of the company’s 1,500 employees use eye-share Invoice. Invoices arrive via email as PDFs and are sent to eye-share Capture for interpretation and verification through Mailreader.

“Mailreader saves us a lot of manual work by automatically sending incoming invoices to eye-share Capture. When we included all our PO invoices in December, the process became even more streamlined. We no longer need to separate invoices in our inbox and can fully benefit from eye-share. The entire process runs automatically and works very well,” Hellesmark explains.

Since replacing DokuStar with eye-share Capture, NorDan’s invoice processing has become faster and more efficient.

“The verification process is much quicker with eye-share Capture. Given the large volume of invoices we process, we’ve saved several full-time equivalents (FTEs) with eye-share. There’s no doubt that it’s a significant time-saver. Just by adopting eye-share Capture, we’ve saved half an FTE,” Hellesmark notes.

Easy to use

NorDan’s headquarters are located in Moi, southwestern Norway, where 340 of the company’s 1,500 employees work.

“The system is very well-liked by our users, especially the accounting templates, which have been warmly received. We do a fair amount of pre-coding for both sales offices and department managers, and they appreciate how easy it is to approve invoices. Additionally, the log feature in eye-share Invoice is incredibly useful, allowing us to see the full history of each invoice,” Hellesmark adds.
